Learning content
[Bearbeiten]Communication and collaboration
[Bearbeiten]Communication focuses on exchanging information. Collaboration goes further and involves working together towards a shared result. A group chat may support communication, while a shared document can support direct collaboration.
Synchronous and asynchronous communication
[Bearbeiten]Synchronous tools enable communication at the same time, such as a live chat or video conference. Asynchronous tools allow participants to respond later, such as email or a forum. Neither form is always better; suitability depends on the task.
Email – structure of a message
[Bearbeiten]Email is particularly suitable for structured, relatively formal and time-shifted communication. A good message contains:
- To: the main recipient;
- Subject: a short and meaningful summary;
- Salutation: appropriate to the situation;
- Message: clear, polite and complete;
- Closing/signature: an appropriate ending;
- Attachment: only when actually needed.
CC, BCC, Reply and Forward
[Bearbeiten]CC sends a visible copy to additional recipients. BCC sends a copy without making those addresses visible to the other recipients. Reply answers the sender, whereas Reply All also answers other recipients. Reply All should only be used when everyone needs the response. Forward sends a message to another person and should be used carefully when the original message contains personal information.
Attachments and safe email use
[Bearbeiten]Before sending an attachment, check that the correct file has been selected and that its name is understandable. Unexpected attachments or links from unknown senders should not be opened carelessly.
Other communication tools
[Bearbeiten]Messengers and chats are useful for quick exchange. Video conferencing supports spoken communication over distance. Forums or discussion boards organise conversations by topic and can be useful when contributions should remain available for later reading.
Collaboration tools
[Bearbeiten]Shared documents, presentations and spreadsheets allow several people to contribute to the same product. Digital whiteboards support brainstorming; task planners help distribute work. Cloud services and learning platforms can provide storage, access control and shared workspaces.
Choosing the right tool
[Bearbeiten]Important questions include: How urgent is the message? Who needs to receive it? Is a permanent record required? Are files being worked on together? Does the content contain personal or sensitive information?
Classroom activities
[Bearbeiten]Write a good email
[Bearbeiten]A formal message to a teacher is prepared.
Task: Write an email with a meaningful subject, salutation, clear question, closing and an announced attachment. Send it only in a practice environment or to an address provided for the exercise.
Expected outcome: A complete, polite and understandable email.
Reply or Reply All?
[Bearbeiten]Task: Decide for several example messages whether Reply, Reply All, Forward or no forwarding at all is appropriate. Explain your choice.
Choose a tool
[Bearbeiten]Task: For situations such as arranging a quick meeting, submitting a formal request, creating a group presentation or collecting ideas, select a suitable communication or collaboration tool and justify the choice.
Mini group project
[Bearbeiten]Task: Use one communication tool and one collaboration tool to complete a small group task. Agree on roles and document which tool was used for which purpose.
